Invoicing & expense drafter

Each period a finance agent drafts invoices, builds a tone-matched AR chase list cross-checked against Stripe settlements, and compiles a categorized expense report — then lands one approval where you sign off what goes out.

What it installs

Agents 2

  • Finance Agent

Owns recurring invoicing, tone-matched AR chase, and expense reporting.

  • Invoicing & expense drafter Quality Reviewer

Checks primary evidence, domain controls, deliverable completeness, and communication quality, stopping the run when the work is wrong, unsupported, incomplete, or uncertain.

Teams 1

  • Invoicing & expense drafter quality team

The delivery agents produce the work while an independent quality reviewer checks each workflow handoff against explicit evidence, domain, and communication requirements before the run can continue.

Workflows 1

  • Invoicing & expenses

Draft invoices and the AR chase list, compile the expense report, self-review, and approve.

Goals 1

  • Cash collected, expenses tracked every period

Keep invoices out, overdue receivables chased, and expenses categorized and policy-checked each period.

Skills 5

  • invoice-chase

Build a prioritized AR chase list: pull overdue receivables, cross-check processor settlements to exclude paid customers, score each customer by payment history, and draft one tone-matched reminder per customer — sent only after approval. Adapted from anthropics/knowledge-work-plugins/invoice-chase.

  • invoice-generator

Generate accurate, well-formatted invoices from a customer and line items: required elements, sequential numbering, tax by jurisdiction (US sales tax, EU/UK VAT, reverse charge), payment terms, and clean output. Adapted from claude-office-skills/skills/invoice-generator.

  • expense-report

Compile categorized expense reports — by category, travel, or monthly summary — with receipt checklists, budget-variance columns, top-10 spend, and an anomalies note. Adapted from claude-office-skills/skills/expense-report.

  • expense-tracker

Run the receipt-to-reimbursement pipeline: OCR-extract vendor/amount/date/items, auto-categorize, check against policy limits and the approval matrix, and surface exceptions — defaulting uncertain items to review. Adapted from claude-office-skills/skills/expense-tracker.

  • stripe-payments

Read Stripe charges, payouts, subscriptions, and invoices to reconcile billing, match settlements to invoices, and surface failed/dunning events — read-only for safe billing review. Adapted from claude-office-skills/skills/stripe-payments.

Schedules 1

  • Billing run

Runs invoicing and expense drafting on the schedule you choose. ## Professional quality control Objective: complete the recurring Invoicing & expense drafter operating cycle and deliver a review-ready, evidence-backed result rather than merely report that the schedule ran. Start by fixing the review period, reading the current source records and prior run, confirming required access, and listing missing or contradictory inputs. Execute the bundle's full authored method in order, retaining source, calculation, command, or before/after evidence for load-bearing findings. Separate facts from interpretation, apply supplied policy without inventing thresholds, and stop any branch that requires missing authority or an unconfirmed human rule. Produce the complete named deliverable plus an evidence record, assumptions, exceptions, unresolved questions, and concrete next actions with owners where the method calls for them. Run the workflow's independent verifier checks and fix failures before requesting approval. The task is done only when every requested section and quality criterion passes or a blocker is explicit; silence, inaccessible data, or polished prose is not proof of completion. Recompute material figures independently from raw records; verify period, currency, sign, formula, rounding, tie-outs, and roll-forwards. Distinguish accounting policy from assumptions and route judgment to the human. Financial narrative must explain drivers plainly without generic AI phrasing, invented precision, or certainty unsupported by the books. The human retains authority over publication, sending, spend, signing, merging, deployment, and other consequential external actions.

Requirements

What this playbook expects to do its job. Task Machine does not verify these — you decide whether your setup is ready.

  • Browser access to your accounting tool — The agent works in your accounting tool (QuickBooks, Xero) through its web interface in your browser to pull AR aging, vendor/expense detail, and invoice numbering, and pauses for your approval before sending or filing anything. Until you connect it, it works from attached exports.
  • Billing source data — The prior invoice (for numbering and terms), the customer/line-item detail to bill, the AR aging report, the expense register or receipt set for the period, and your expense policy thresholds.
