Switch from ChatGPT to Task Machine

A practical guide to moving recurring business work from ChatGPT conversations to Task Machine's scheduled workflows, approval Inbox, and run history.

Prefer the side-by-side comparison?

ChatGPT is the reference point for thinking, drafting, and one-off questions, and its paid plans now add scheduled tasks and, on Pro, an always-on agent called Dot. Teams move to Task Machine when the same requests come back every week and the work needs an owner, an approval before it goes out, and a record of what ran.

Why do people switch from ChatGPT?

  • The Monday prompt comes back every Monday. Saved prompts and scheduled tasks repeat the request, and someone still has to check the answer and move it on. A Task Machine workflow runs the job on a schedule, with verifier checks before the result reaches you.
  • A chat history is a thin record. Task Machine keeps the output, the discussion, and a step-by-step history on a task, so anyone can see who owns the job and which run went wrong.
  • Approvals need a place. Approval and question steps from every workflow arrive in one Inbox, so a customer reply waits for you before it goes out.
  • Work shared by people and agents. Teammates and agents work on the same tasks, so a job keeps moving when someone is away.

What do you give up?

For a single question or a first draft, ChatGPT is quicker, and Task Machine adds setup you do not need. Keep ChatGPT for thinking. The setup pays off from the second or third repetition of a job.

How does the switch work?

  1. List the requests you paste into ChatGPT every week, such as the metrics summary, the competitor check, or support replies. Those are the candidates.
  2. Create your Task Machine workspace, connect the accounts those jobs touch, and pick matching playbooks.
  3. Rebuild each request as a workflow, with agent steps for the work, an approval step where you want the final say, and a verifier check where the output has to meet a bar.
  4. Schedule it, review the first runs from the Inbox, and raise autonomy where the work has proven itself.

Common questions

Should I cancel ChatGPT?

No. Keep it for thinking and one-off work. On a computer you connect, tamacode can even use your ChatGPT subscription through Codex.

Doesn't ChatGPT have scheduled tasks now?

Yes. Scheduled tasks repeat a prompt. Task Machine adds what a recurring job needs around it: an owner, approval steps, verifier checks, one Inbox, and a run history.

Do agents act without my approval?

Only where you allow it. Each agent has an autonomy level, and the default sends consequential actions to your Inbox.
